Who sees an evaluation and when

This page answers the most common evaluation question: "Why can't this attendee see the evaluation?"

The short answer

An attendee sees an evaluation in their Evaluations list only when all of these are true:

  1. They are registered for the event as an attendee and their registration is paid (and not refunded).
  2. The evaluation is Enabled.
  3. It is open right now: after Starts At and before Ends At.
  4. They are in the target audience.
  5. If Require event attendance is on, they have checked in at the event.

There is one exception to rule 3: once an attendee has submitted an evaluation, it stays in their list after it closes, so they can still read their answers and download their certificate.

Each rule in detail

RuleWhat countsWhat the attendee sees if it fails
Registered attendeeAn attendee record for this event. An abstract-only account (someone who only signed up to submit an abstract) doesn't count. No Evaluations card or menu item.
PaidThe registration has been paid and not refunded. The portal is blocked with "Event Attendee Is Not Paid, Please Contact Event Admin" or "Attendee Registration Has Been Refunded".
EnabledThe Enabled switch at the top of the evaluation form. The evaluation disappears from their list, even if they already answered it.
OpenThe current time, in the event's time zone, is on or after Starts At and on or before Ends At. An empty date means no limit on that side. Before the start: the evaluation isn't listed. After the end: it isn't listed, unless they already answered it.
Target audienceNo packages and no roles selected means everyone. Otherwise the attendee's package or any of their roles must be selected. The evaluation isn't listed.
Event attendanceOnly when Require event attendance is on. The attendee must have been scanned in at the event at least once. The evaluation isn't listed.
Packages and roles combine with OR

If you choose the Normal Package and the Speaker role, an attendee on the Normal Package sees the evaluation even if they aren't a speaker, and a speaker sees it whatever their package. To target only speakers, select the role and leave Packages empty.

When an attendee has no evaluations they can see, the Evaluations card and menu item don't appear in their portal at all.

Which certificate an attendee gets

A certificate linked to an evaluation appears for an attendee when they have answered every required question of that evaluation, and they meet the certificate's own filters (its roles, packages, activity and attendance settings). See Link a certificate.
