Evaluations overview
The Evaluations module lets an event collect feedback from its attendees. The organizer builds one or more evaluation forms, attendees answer them in the attendee portal, and the organizer reads the results in a report or exports them. An evaluation can also be linked to a certificate, so attendees get their certificate once they've answered it.
This guide is split by who you are:
| You are… | Start here |
|---|---|
| An organizer building evaluations in the admin dashboard | Create an evaluation |
| An attendee answering an evaluation | Answer an evaluation |
| Anyone with a "why can't I…" question | Troubleshooting |
The people involved
| Who | Who they are | Where they work |
|---|---|---|
| Organizer | Creates evaluations, writes the questions, links certificates and reads the reports. What each organizer can do depends on their dashboard permissions. | Admin dashboard |
| Attendee | Anyone registered for the event as an attendee. They answer the evaluations aimed at them. | Attendee portal (and, with limits, the mobile app) |
| Speaker | An attendee with the Speaker role on a session. Questions can be linked to them, but they don't need to do anything. | Attendee portal, like any attendee |

The flow from start to finish
| Stage | What happens | It's finished when | Guide |
|---|---|---|---|
| 1. Create | The organizer creates the evaluation: title, dates, options and target audience. | The evaluation is in the list and Enabled. | Create an evaluation |
| 2. Write the questions | The organizer adds question groups and questions, then clicks Save Changes. | Every question is saved. Questions can't be changed after the first response, so check them now. | Build the questions |
| 3. Link a certificate (optional) | The organizer picks the evaluation on a certificate, so attendees must answer it to get the certificate. | The certificate is saved and isn't a draft. | Link a certificate |
| 4. Collect answers | While the evaluation is open, attendees find it under Evaluations in the attendee portal and submit it. | The end date passes. | Answer an evaluation |
| 5. Read the results | The organizer opens the report, then downloads a PDF or exports to Excel. | You have what you need. | Reports and exports |
Attendees aren't notified automatically
EventBeez doesn't send an email or push notification when an evaluation opens. Tell attendees yourself, for example with an email from the Messaging Center, and point them to Evaluations in the attendee portal.
Key rules at a glance
- An attendee only sees an evaluation that is enabled, aimed at them and open right now. Once they've answered it, it stays in their list even after it closes.
- An empty target audience means every attendee. If you pick packages and roles, an attendee needs to match any one of them.
- Questions are required by default. Turn on Optional for questions people can skip.
- Questions are locked after the first response. The evaluation's settings (title, dates, options, audience) can still be changed. To change the questions, clone the evaluation.
- An evaluation with responses can't be deleted. Turn it off instead.
- A linked certificate becomes available once the attendee has answered every required question.
