What you can't change once abstracts exist

ChangeAllowed?
Delete a topic that has abstractsNo – "Cannot delete topic with associated submissions." Disable it instead.
Delete the only topic, or the only enabled oneNo
Delete a presentation type that has abstractsNo. Disable it instead.
Delete a field from a presentation type that has abstractsNo
Edit additional questions once any abstract existsNo
Change an abstract's topic or presentation typeNever, not even by the author
Deleting is immediate

Deleting a topic or presentation type with the trash icon removes it right away. You don't need to press Save.

Opening and closing submissions

Authors can submit only while both of these hold:

  • Access conditions > Enable abstract submission form is on, and
  • the current time is between Submission limits > Start date and End date, in the event's time zone.

Turning the switch off or letting the end date pass immediately stops new abstracts, edits, submissions and poster uploads. Turning the switch off also stops new abstract-only sign-ups.

You can extend the end date at any time. Extending it after results are published doesn't reopen submissions or edits, because publishing locks those for good. It only reopens poster upload.

Guidelines and terms

  • Turning Submission guidelines off removes the Submission Guidelines button from the author portal.
  • Uploading a new PDF replaces the old one.
  • The terms appear on the author's last step, and they must tick the box to submit.

Acceptance package

You can't set the quota below the number of authors already assigned to the package ("Quota below actually consumed quota.").
